Privacy policy
This policy describes how element ai processes personal data submitted through the forms on elementai.pl. We collect only what we need to answer your enquiry.
Data controller
The controller of your personal data is element ai, NIP 7722443302, with its registered office in Warsaw. For any matter concerning personal data, write to kontakt@elementai.pl — we reply within 24 hours on working days.
What data we collect and why
Contact form: full name, email address, optionally company name and topic, and the content of your message. The audit form additionally: company name, website address, phone number, a description of the process and your preferred meeting slot. We use this data solely to handle your enquiry and to arrange and run the AI audit. We do not use it for profiling or automated decision-making. Besides the form content, we record an anonymous event when the contact or audit button is clicked — with no identifying data, only the page address and the traffic source. Your IP address is processed transiently in server memory in order to limit form abuse.
Legal basis
Article 6(1)(a) GDPR — your consent given when you submit the form, and Article 6(1)(f) GDPR — our legitimate interest in conducting business correspondence. You can withdraw consent at any time by writing to kontakt@elementai.pl; this does not affect the lawfulness of processing carried out before the withdrawal.
How long we keep data
We keep data from enquiries for 24 months from the last contact, and if we start working together — for the duration of that cooperation and the period required by tax law. After that we delete the data.
Who we share data with
Form submissions reach us as notifications in the Telegram messenger (Telegram FZ-LLC) — this is our internal channel for handling enquiries. Beyond that, data may be processed by our hosting and email providers, solely on the basis of data processing agreements and only to the extent needed to provide those services. We do not sell data and we do not pass it to third parties for marketing purposes.
Your rights
You have the right to access your data, to rectify it, erase it, restrict its processing, port it, and to object to processing based on legitimate interest. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.
